Job Summary

• Provide full administrative support to members of the Leadershipteam, maintaining a high professional standard of communication with all internal and external contacts;
• Act as central administrative point of contact, as needed, judging priorities and ensuring the delivery of a high level of service;
• Key high profile support for Corporate senior executive guests and events.

Key Responsibilities

The Allround Marketing and Communications Officer will be responsible for:

• Diary Management: actively manage and implement effective day-to-day diary organization; ensure scheduling of timely updates and weekly briefings; communicate and liaise with other LOBs as required; and actively support daily time management between meetings;
• Meeting Management: plan and schedule all internal and external meetings; facilitate agenda creation and distribution; and work with internal catering company to provide catering (within budget) when required;
• Travel & Accommodation: manage travel, transport and accommodation requirements including itineraries and bookings and finance administration afterwards for the Marketing & PR & Communications team. Ensure all bookings are made within budget and in line with TWDC Travel & Expense policy;
• International Executives Support: coordinate and facilitate senior executive visitors to Benelux, ensuring appropriate on-ground support and itinerary is in place;
• Event Assistance: support internal events (i.e. Conferences, EMEA and International Town Halls, networking events, etc.), coordinating venue management, catering & suppliers, equipment, AV/Tech, room layouts, agendas and delegate packs, and handling of attendee queries and event troubleshooting. Assist with PR administration (PO, vendor process, creating intern vacancies, assisting with intern recruitment process);
• Expenses: collate and file all expenses accurately and within required time-frame; and ensure all technical training in support of the above is completed and refreshers attended where required;
• Office Management: manage TWDC administrative systems (e.g. SAP, GSS, Workday, Coupa); support leadership with miscellaneous tasks; and liaise with staff, suppliers and clients, as required. Process Purchase Orders, Receipting, Invoicing and other SAP related matters across departments. Purchasing as required via P-card process and recording and tracking spend data using excel spread sheets.
